This page explains how to use StaffQR end to end: getting an access code, creating a venue, checking people in with one-time QR codes, using the people portal, the parent view, the live map, and emergency tools. Nothing here requires installing a native app — everything runs in the browser.

For everyone — quick start

1. Get a unique access code

StaffQR is unlocked with a one-time access code. Buy a code at support-us.quantheo.app. Keep the code private; it can only be used once to create an organization.

2. Create your organization

On the home page, open Create venue (or scroll to the signup form). Enter the access code, organization name, type (school, university, or business), optional URL slug, admin email, and a password of at least 12 characters. Submit to create your private tenant.

3. Sign in as admin

Go to /admin and sign in with the admin email and password you chose. From the admin console you manage people, settings, the live map, and emergency broadcasts.

4. Try the live demo (optional)

Open /portal?org=quantheo for a sample school venue (no password required on the demo). Tap a name to generate a single-use QR and see how check-in works.

For administrators

People & roles

Add staff, teachers, students, or visitors in the admin console
Assign roles so the right people appear in the portal
For schools, link children to parent accounts so the parent portal only shows their family
Optional PINs protect portal access; rate limits throttle brute-force attempts

Check-in workflow

From the portal, select a person to show a single-use, short-TTL QR code
Scan with a phone camera or fixed scanner; the code cannot be reused
Presence is recorded on the board and live map
Optional geofence can flag or block scans far from the venue

Live map & presence

Open the admin map to see who is on site and where
Venue center is pinned with your organization slug
Locate a person and open the fastest route when seconds matter
Use the presence board for capacity and safety accountability

Emergency tools

Anyone on site can press EMERGENCY on their phone
Admin receives a non-stop alarm with GPS until acknowledged
Admins can broadcast lockdown, fire, weather, medical, or evacuation alerts
On-site devices show a full threat screen until all-clear

Security practices for admins

Use a strong admin password (12+ characters). Do not share static QR codes — only generate on demand. Review geofence settings if your venue has a clear boundary. Sessions use HttpOnly cookies and CSRF protection on mutating requests. Each organization is isolated; public signup never grants platform-wide privileges.

For everyday users (staff, teachers, visitors)

Opening the portal

Use the portal link for your organization (from admin or your internal docs)
Enter your PIN if the portal is gated
Find your name in the list (or the person you are checking in)

Checking in

Tap the person → a QR code appears
Scan it with another phone or a fixed scanner at the entrance
Wait for confirmation; the code expires and cannot be scanned again

Emergency button

If you need immediate help, press EMERGENCY on your phone in the portal
Admin is alerted with your location until they acknowledge
Only use for real emergencies

Broadcasts

If admin sends a lockdown, fire, weather, or medical alert, follow the on-screen instructions
The alert stays visible until admin clears it

For parents (schools)

Parent portal

Parents unlock a limited view with a 4-digit PIN. You only see your own children, gate status, and optional “arrived safely at home” confirmation. The full student roster is never exposed. Ask your school admin for the parent link and PIN setup.

FAQ

Do people need to install an app?

No. StaffQR runs in the browser on phones, tablets, and computers.

Can a QR code be reused?

No. Codes are single-use and short-lived. A new code is generated each time you select a person in the portal.

What if I lose the access code before signup?

Access codes are one-time. Contact support via the pricing site if a code was purchased but not yet redeemed.

How do I open the live demo?

Go to /portal?org=quantheo. No password is required for the demo venue.

Where do parents get their PIN?

School administrators create parent links and PINs and share them with families. Parents only see their own children.
